The customer comes first. The best strategy for your business

What company can you trust? What should you know about your business partner? Check if the company you plan to cooperate with has ISO 9001:2015 - quality management system. This standard puts the Customer in the center and emphasizes the process approach in the company, which, when properly defined, built, conducted and constantly improved, contributes to the development of the company, increase of the company's quality policy consistent with its activities and goals.

ISO 9001 is an international quality management standard based on the PDCA cycle (Plan-To-Check-Act). This cycle describes the workflow for all management system standards issued by ISO. This is a good strategy for any organization.

ISO 9001: 2015 should be available to every company that cares about the effective quality of planning and management in the organization. Processes are at the heart of this quality standard. This means that the company is divided into main, auxiliary and external processes. They are easier to manage, e.g., based on specific tools. However, the standard has certain requirements. In order to effectively manage an organization, the involvement of employees at all levels is necessary. It is also important to achieve the set goals, take risks and research opportunities to optimally improve the activities and resources in the company.

After implementing the principles set out in the ISO 9001:2015 standard, the company may apply for a certification audit, the successful course of which results in the receipt of the ISO 9001:2015 certificate. 

At the center of everything is the customer and his satisfaction

All processes functioning in companies (depending on their size and sector), such as: recruitment, sales, technical, property management and others, must be described in detail and be implemented in accordance with generally accepted guidelines, taking into account the interests and requirements as well as the trust of many parties: employees, Customers, suppliers, owners, shareholders. Such activities result in better identification of priorities, stability in the implementation of daily assumptions in the company, and an incentive for continuous improvement. Regardless of the processes that are carried out in companies, they must be documented. They need to be constantly improved. Their implementation is assessed on an ongoing basis. All possible threats are analyzed. Conclusions are drawn and errors are corrected, and the effects of unwanted situations are mitigated.

Such an established action plan guarantees constant and long-term development of the company. The company constantly strives to improve “its product” and high operational efficiency. All this translates into cost optimization or an effective advantage of a given company over the competition. Looking at the issues of risk and the chances of success in the functioning of appropriate processes in the organization also allow to take appropriate preventive actions so that the goals and processes are implemented in an effective manner. However, it is worth identifying the gaps in these areas before implementing the ISO 9001:2015 standard and processes in the company, the fulfillment or change of which may positively affect the more efficient functioning of the company and full adaptation to the requirements of generally accepted standards. You should also bear in mind that all decisions made in the organization can be a very complex and long-term process. Decisions must always be made on the basis of indisputable evidence and with the benefit of the Client in mind.

Pajmon CPT’s contractors commented in the survey

One of the entities that owns ISO 9001:2015 is Pajmon CPT. It is worth adding that the company was obliged to provide its Contractors with a special questionnaire. It was there that Customers spoke about Pajmon CPT based on over a dozen of criteria. Survey titled The Customer satisfaction survey gave the answer what are the preferences of business partners. It also allowed to define their requirements and verify the current management policy of the company, as well as to focus on possible changes.

The evaluation criteria proposed to the Contractors for issuing the score included in the survey were as follows: quality of products / services, proposed prices, timely deliveries, payment terms, method of resolving possible complaints, keeping agreements, method of communication – ease of contact, competence of personnel.

What did the polls show? Which guidelines received the best marks? As it turns out, as many as 97 percent of business partners rated the most highly: the method of communication, staff competences and the method of resolving possible complaints. Also high, because 95 percent of Customers indicated the issue related to the quality of products. In turn, 93 percent. ticked the option: timely deliveries.

What proposals for changes in Pajmon CPT did the Clients propose? In their comments, the contractors submitted to the company proposals, incl. as to the methods of solving possible complaints.

All processes should interact with each other

Complete implementation of the set requirements, in line with the company’s development goals, corresponding to its needs, in accordance with the organization’s specification, based on specific processes, allow the company to develop more effectively and constantly improve customer satisfaction. Process activities should be based on the so-called inputs and outputs. An important issue is to recognize the interactions between individual processes. For example, in one of the recruiting companies in the sales process, the so-called input may be, for example, the issue of reporting by the Customer a need for a specific employee / employees. In turn, the so-called output may be issuing an invoice for the service provided (delivery of a specified number of employees to the Contractor’s workplace). Each process in the company must be based on the measurable factor, e.g., efficiency, level of customer satisfaction, quality of the service provided. If any part of the process is facing difficulties, the organization must take preventive action. Thanks to this, it can effectively eliminate errors.

After implementing the requirements contained in the ISO 9001:2015 standard, the company may apply for a certification audit. Its successful course can result in receiving the ISO 9001:2015 certificate. During the certification audit, the auditor checks in the organization whether all documented processes and procedures meet the requirements of the standard and whether they are implemented in accordance with the system documentation. If the auditor finds any errors, the company must eliminate all non-compliance. Only then the ISO 9001:2015 certificate can become a fact.

Later every year, the so-called surveillance audits are hold in the company owning the ISO 9001:2015 certificate. The auditor then checks, among others, the current functioning of the quality management system in the company, any changes introduced over the last months and their documentation, and e.g., whether the certificate and logo are used by the company for their intended purpose. In turn, the recertification (renewal) audit takes place three years after receiving ISO 9001:2015, i.e., before the expiry of the previous certificate.

Why owning the ISO 9001:2015 certificate is worth it?

Companies that have the ISO 9001:2015 certificate guarantee safe cooperation and quick response to changing employment conditions. They take care of all aspects related to the quality of management in the organization, including in the field of recruitment, provided services, safety at work, data processing or document storage. This scope of action handles the processes established in the company and their effective management. It also influences better use of employees’ potential and builds more lasting relationships with customers. ISO 9001:2015 is an excellent tool that shows that we are dealing with a reliable business partner. Any changes he faces will always be carried out in a controlled and predictable manner. Thanks to this, it will develop in a specific direction, always for the benefit of the Client. Therefore, the company that has the ISO 9001:2015 certificate gains an advantage over the competition. It presents itself as a competent Contractor worth trusting.
